Gound Operations Assistant (M/F)
For a determined-period contract (6 months)
- Possible extension of contract, depending on our needs-
ref. TAY 08-21


Reporting to the Ground Operations Director, the Ground Operations Assistant is responsible for providing administrative
support to the Ground Operations department, through the processing of reports, presentation material and correspondence.
She/he is involved in the administration and updating of relevant manuals in order to be compliant with the regulations laid
down by the BCAA. He/she collects relevant info to provide the best view of possibilities for the GO Director to negotiate the
handling contracts in outstations. He/she is based at Liege airport.

Main activities and responsibilities

• Assist the Ground Operations Director in preparation of manuals (i.e. Ground Handling manual, Weight and Balance,
A 300) and communication to service providers in every station to ensure that safe practices are cascaded to all
concerned.
• Assist in the follow-up of ground operations incidents, liaise with 3rd party to collect relevant and requested information
enabling the management to take adequate corrective actions.
• Provide support to department in the form of:
1. Maintaining filing system, preparation and submission of expense forms,
2. Compiling and submitting duty times / ensuring accurate information to be forwarded to HR department.
3. Updating and maintaining training records of Ground Operations staff so that all interested parties are aware of
qualification and refreshers are scheduled timely.
4. Compiling information and data and incorporating into presentable format for the purpose of presenting reports for
the department.
5. Organizing the training sessions performed by Ground Operations department and liaising with the trainees regarding
travel details and timings of training. Maintaining the records of W&B qualifications and ensuring that refreshers are
organized timely.
6 Conveying all incoming messages / information to the relevant recipients during their absence to ensure smooth and
timely communication.
7. Co-ordinating activities of department staff by maintaining their work calendars in order to avoid scheduling conflicts
so that all members can fulfill their operational obligations.
8. Arranging and following-up hotac/travel organization for Ground Operations staff or others participating in Ground
Ops sponsored activities and submitting these arrangements to relevant parties.
• As delegated by the GO Director, organize the planning for the loadmasters as per operational requirements:
1. Plan Loadmaster rosters as per requests in order to ensure necessary loading supervision for charters as well as
Network flights.
2. Ensure accurate information is available to all concerned in due time
3. Propose and implement positioning and duty travel of Loadmasters as dictated by operational changes in order to
ensure Loadmasters are available and present for duty.
• Collect contractual agreements from outstations, review the proposals and set up a benchmark amongst the stations to
provide the best view of possibilities.

Your knowledge / experience / skills

• Excellent written and oral communication skills.
• Fluency in English required and French.
• Strong PC skills and thorough knowledge of Microsoft Office Applications (excel, power point, word)
• Organisational skills: you are able to deal with multiple tasks and set priorities.
• Ability to work independently.
• Ability to deal with operational “pressure” in a deadline driven environment.
• Knowledge of Ground Operations activities (cargo & Pax) is an asset.
• Flexibility.
